The following are the minutes from the quarterly business meeting on October 9, 2009, held at the current location of the Black Canyon Railroad Museum, Inc.:

Black Canyon Railroad Museum, Inc

Regular Business Meeting October 09, 2009

The meeting opened at 8:00 PM, president Cary Cartter presiding

Members Present: Eric Hiser, Al Elsroad, Ben Vernille, Bob Hedges, Harold Shelton and Richard Petrina

The minutes from the previous meeting July10, 2009 were accepted and approved.

Officer reports

President, Cary Cartter

Cary had no report at this time.

Treasurer, Bob Hedges

Bob reported on the clubs assets and payments. He also reported on the status of the 501c3 rating, this was going to happen within the next 90 days. His report was approved and accepted.

Construction Superintendent, Harold Shelton

Harold reported on the general maintenance of the layout. The turnouts in Jeremiah and Obadiah have been modified to make them DCC friendly. This will eliminate some of the wheel shorts that have been occurring in those towns. He also mentioned the use of the new Grassmaster, used for scenery and the learning process that will be needed to become proficient with it’s use. A plastic protection panel was installed at Jonah Jct., this will keep the station and other structures from getting damaged. There will also be a new refrigerator car thru freight used during the operating sessions as soon as he has time to assemble the particular units.

Old Business

Logo Revisions. The logo for the club is getting closer to the style and concept. The colors are to be changed and the logo in itself is to be reversed. Script was also mentioned to be used if possible. The logo is also to be put onto the back of the shirt, with the club and individuals name on the front.

The additional payment for the downtown deco kits will be due in January 2010.

We have not heard from John McGinty concerning the opportunity to move the railroad to the Indian reservation in Scottsdale. The club will continue to investigate other possible avenues.

New Business

A discussion ensued on using the Time table #36 as the time frame of the layout. This would limit the use of Diesel equipment and rolling stock that was not within that particular time period. Eric was going to contact a Museum in Temple, Texas that had the information concerning the type of equipment used during that time period. We would wait for his findings before any steps were taken to implement specific equipment use.

The current club Officers agreed to remain as the officers for year 2010. A motion to accept was seconded and approved.

Keeping with tradition, there will not be any scheduled operating sessions for the month of December, due to the holidays.

Next regular meeting is scheduled for Friday, January 08, 2010

Meeting was adjourned at 9PM

Respectfully submitted by
Richard Petrina, Secretary

Please note that these minutes may be modified depending on additions or corrections from the members in attendance.

Some discussion of the time frame of operations has occurred, outside of the meeting format, in informal brainstorming. Possibilities include moving the time frame to include 1952 through 1968 or so, in order to accommodate not only the newer diesels owned by the club but also the older steam locomotives that many in the club enjoy operating; changing the date of the layout to 1962; or utilizing a “sliding” date frame to allow different equipment in different operating sessions.
